Grade School Administrative Assistant
Opening Statement
Summary:
The San Francisco Waldorf Grade School Administrative Assistant position is a hands-on, active, organizationally demanding role. The position serves our Preschool and Grade School campuses (Preschool – 8th Grade). Excellent communication, organizational and computer/database skills are essential as well as the ability to work comfortably in a busy public environment.
The Administrative Assistant must be friendly, knowledgeable, outgoing, and possess a good understanding of Waldorf Education. They must enjoy working directly with students, parents, and teachers. The position often deals with sensitive and personal issues and, therefore, discretion, confidentiality and objectivity are essential components of this position.
The Administrative Assistant is supervised by the Grade School Administrator and works in partnership with the Grade School Director and Enrollment Director.
Essential Job Duties
Reception:
- Greet visitors, receive deliveries, answer parents’ questions
- Assist students and teachers as necessary
- Answer phone calls, deliver messages
- Distribute information as required
- Open daily mail
- Log collected cash or checks into tracking system
- Maintain other office functions and supplies as directed by GS Administrative Coordinator (including school shared hospitality supplies in collaboration with Events staff)
- In collaboration with other stakeholders maintains neat and presentable public facing spaces
- Supports meeting scheduling and space management within the Google office suite tools
Attendance:
- Update and print monthly attendance forms
- Monitor daily attendance; call absent children when required
First Aid/Illness:
- Administer first aid when necessary; notify parents, see that Accident/Incident Report is completed
- Administer medication when needed in accordance with California Law and guardian-written instruction
- Track illness trends and reportable infectious diseases
Faculty Support:
- Type letters/emails for the faculty and School, as required, copies to appropriate files
- Stamp and mail correspondence as needed
- Facilitate scheduling of Teacher/Parent conferences
- Obtain drivers’ licenses and insurance information for field trips
Program Support:
- After School Program:
- Prepare and maintain daily update log for ASP staff
- Notify teachers of last-minute changes
- Day Camps:
- Update and distribute application information for February and Spring Day Camps
- Prepare sign-in sheets/rosters for ASP Director
- Monitor payments
- Summer Programs:
- Update and distribute application information for summer camps.
- Prepare sign-in sheets/roster for Summer Camp Director
- Monitor payments
Miscellaneous:
- Monitor Fire Drills and other Emergency Drills
- Support Parent Guild activities in reception as needed
Qualifications
Qualifications:
- Good Microsoft office skills (Word and Excel), iContact or similar email tools a plus, Blackbaud or similar database experience a plus
- Excellent proofreader and editor
- Confidence in administering basic first aid in lieu of a school nurse (ex. typical school and playground injury-assessment, illness, etc.)
Physical Requirements and Work Environment:
- Be able to occasionally lift to 30 lbs.
- Work intermittently in outside weather conditions, including heat and cold
- Regularly sitting or standing for 8 hours per day
Employment Details
Benefits and Compensation:
$28.00- $32.00 per hour depending on experience.
This is a full-time (1FTE) staff position, non-exempt, hourly. Benefits include medical, dental, flexible spending plans, retirement plan (after one year), and tuition remission for two eligible dependents in our Preschool-12 program (after one year). Pay Schedule is the 1st and 18th of each month for hourly employees. Vacation time includes one week during the Winter Break, one week during the Spring Break, and three weeks during the summer.
