Job Summary: The School Secretary at Nelson Waldorf School is a vital member of the school community, taking the lead in managing the front desk and serving as a welcoming presence for students, families, and visitors. This role supports all staff members with a range of administrative duties, including handling mail, receiving payments, managing calendars and school communications, and maintaining student records. The School Secretary also oversees website updates, coordinates social media content, and contributes to marketing efforts to help promote the school’s programs and values. They work alongside the Parent Council as required, and oversee Ministry of education requirements such as safety drills.  With a strong commitment to organization, communication, and hospitality, this position helps ensure the smooth daily operation of the school.

Nelson is a thriving little city located in the Selkirk Mountains on the West Arm of Kootenay Lake in the Southern Interior of British Columbia, Canada. Essential Job Duties

Key Responsibilities:

Student Records Management:

  • Maintain and update student records, including new student files and transfers (in and out).
  • Handle student attendance records and in the MyEd system.
  • Manage records for special education needs and ensure accuracy.
  • Print, distribute and update the student files with report cards.

Front Office Operations:

  • Perform reception duties including answering phones, greeting visitors, and managing the front counter.
  • Process and distribute mail.
  • Issue and manage bus passes daily and as needed for students.
  • Manage the diary and administering external bookings

Student and Staff Care:

  • Administer general first aid and manage the sick room and guest care there.
  • Maintain and distribute attendance sheets for staff and substitutes.

Communication:

  • Handle parent inquiries and maintain effective communication channels.
  • Prepare and distribute weekly school bulletins, monthly newsletters and school notices via Mailchimp.
  • Oversee email communications, including those sent via Mailchimp.
  • Update the school website and social media accounts with current events, news, notices and other marketing activities, in accordance with the NWS best practice policies

Administrative Tasks:

  • Coordinate and oversee school inventory, including paper supplies and essential items.
  • Order and distribute Cowen’s/ Waldorf specific supplies.
  • Manage criminal record checks for all staff and faculty.
  • Maintain files for present/past students and staff.
  • Assist Principal and/or Executive director whenever necessary with tasks such as data management, letter writing or any other tasks as required.

Qualifications

Qualifications:

  • Proven experience in an administrative or office support role, particularly in a school setting.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with discretion.
  • Proficiency in office software and systems, including Mailchimp and MyEd, wordpress, social media formats and word processing, spreadsheet and database usage.
  • First Aid certification is preferred or willingness to take one.
